We are seeking an experienced and proactive Team member, to manage our Day to Day purchasing operations activities. The position will be in the Shared Services Center Department - Purchase and Support sub team and part of the Network and Cybersecurity Family (NCS). This with Occasional travel to France/Belgium.
This position plays a crucial role in the financial process between the suppliers and ENGIE IT, and between ENGIE IT and his stakeholders.
Participates in actions to make the ordering and invoicing processes of NCS services provided to the Group's business units (BU) more reliable. Prepares or helps preparing orders to be collected from the BUs, monitors them, contributes to invoicing actions and produces the financial reporting necessary for the management of this activity by the NCS departments.
He /she is the central point for the Procedure of ordering (>400 in 2024), and ensure the invoices are being paid in time depending on the deliverables, where the workload spreads in time, and depends on deadlines in projects. Very important workload is set at the end of the year, and in the beginning of the Year +1, related to RUN services like management renewable contracts.

Responsibilities:
- Management of Purchase requisitions: Resources and Services.Act as a Single point of contact for requisitions in the NCS Division, and to have these correctly introduced in the process.
- Management of Supplier Orders : introduce and track the orders, correct and act where needed.
- Management of Good receipt: monitoring and reporting of good receipts in relationship with project teams leaders (BUILD) and Service Delivery Managers (RUN).
- Management of Invoices: monitoring and reporting on Invoices through Engie IT tools, and follow up the payments towards suppliers.
- Supplier Management: SPOC for Order and Invoices, and to adapt the supplier database.
- Makes the contributions expected by our management and support functions, in particular to Finance, in accordance with their processes.
- Creation of the required Reports to monitor the delivery of projects amongst the NCS family, orders and payments. Ensure that the objectives in terms of payment and invoicing are met in respect on delivery terms and financial needs.
Requirements:
- Knowledge or the strong will to learn of tools for order management (SAP Ariba) and invoice management (Basware), ERP (SAP S4/HANA), ticketing (ServiceNow) and office applications (MS O365: Outlook, Word, Excel, PowerPoint).
- 2 to 3 years of experience in control management, service delivery or equivalent,
- Bachelor's degree.
- Proven experience in an IT support role with at least 3 years in a leadership or supervisory position, preferably in a global or multinational organization.
- Languages: French and English are mandatory; A strong interaction with Suppliers in France is necessary.
- Communication: Excellent verbal and written communication skills.
- Problem-Solving: High analytical and problem-solving abilities.
- Customer Focus: Strong customer service orientation. Commitment to understanding and meeting the needs of internal clients.
- Time Management: Efficient time management and multitasking skills. Ability to prioritize tasks and manage workload effectively in a fast-paced environment.
- Adaptability: Flexible and able to adapt to changing circumstances and requirements. Eager to learn and stay updated with new technologies and processes.
- Analytical mindset, and strong desire to optimize administrative processes
- Reporting: preparing detailed and accurate reports; ability to present data in a clear and meaningful way to stakeholders.
