We are looking for a detail-oriented and experienced
Payroll and Admin Specialist
to join our team in Romania. The ideal candidate will be responsible for the accurate and timely processing of our company's payroll, ensuring full compliance with local labor law and fiscal regulations.
Key Responsibilities
- Manage the full payroll cycle for all employees in Romania (65+), ensuring accurate and on-time salary payments, bonuses, and commissions
- Act as the primary point of contact for employee inquiries regarding salaries, deductions, and tax matters
- Ensure full compliance with the Romanian Labor Code and all tax and social contribution regulations (CAS, CASS, etc.)
- Process and verify all payroll-related data, including new hires, terminations, leaves, and salary changes
- Manage comprehensive employee records, including monitoring and maintaining attendance data, processing all types of leave documentation (e.g., maternity leave certification), and ensuring all mandatory records (e.g., medical check-ups, Proof of Employment) are collected and filed
- Collaborate closely with the HR and Finance departments to ensure data consistency and accuracy
- Prepare and submit all mandatory monthly, quarterly, and annual reports to relevant authorities, such as ANAF
- Perform regular payroll reconciliations and resolve any discrepancies promptly
Ideal Candidate Profile
- Proven experience of 4+ years as a Payroll Specialist
- In-depth knowledge of Romanian labor legislation, tax laws, and social security contributions
- Direct experience preparing and submitting mandatory statutory reports to Romanian authorities
- Practical experience in managing and tracking comprehensive personnel documentation (including contracts, medical checks, and various leave certifications) to ensure audit readiness
- Proficiency in payroll software and Microsoft Excel
- Exceptional attention to detail and a high degree of accuracy
- Strong analytical, organizational, and problem-solving skills
- Excellent communication skills, with the ability to handle confidential information with discretion
- Fluency in Romanian and English is mandatory
