Responsibilities

  • Attend SMT meetings, prepare minutes, and follow up on resulting actions.
  • Prepare and send correspondence, documents, and reports for the Managing Director and SMT members.
  • Maintain and update the agenda; arrange appointments, meetings, travel, and accommodation.
  • Establish an internal communications strategy with senior managers.
  • Collect information and prepare responses to complaints from ANPC and ANCOM.
  • Collect information and prepare reports requested by ANCOM.
  • Provide support with legal empowerments and other documents using legal drafts.
  • Handle administrative company matters such as appointments with notaries, standard documents for departments with legal training and support, and secretarial activities.
  • Ensure all travel expenses for the Managing Director and department directors are pre-approved according to the T&E Policy.
  • Ensure expense statements and invoices for travel expenses are sent to the Finance Department for processing before the end of the month.
  • Ensure travel pre-approval requests needing CEU approval are submitted within the agreed deadline

    Strong verbal and written communication, both Romanian and English,for interaction with internal teams and external stakeholders.
  • Attention to Detail:
    High accuracy in preparing minutes, reports, and other documents.

    Anticipate needs, identify issues, and implement solutions efficiently.
  • Discretion and Confidentiality:
    Maintain confidentiality in handling sensitive information.
  • Technical Proficiency:
    Proficient in MS Office Suite and managing electronic filing systems.
  • Time Management:
    Work independently and meet deadlines in a fast-paced environment.
  • Interpersonal Skills:
    Maintain effective communication across all departments and with senior managers.
  • Administrative Skills:
    Experience in managing travel expenses and organizing company matters.
  • Adaptability:
    Handle a variety of tasks and adjust to changing priorities.
