Assistant to the Executive Director

We are seeking a highly organized, proactive, and reliable Personal Assistant / Executive Secretary to provide comprehensive administrative and organizational support to the Board of Directors and Executive Management. This role requires strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate will play a critical role in ensuring effective communication and coordination between Ukrainian investors, the Board, and company management. This includes participation in all high-level meetings, maintaining accurate meeting records, monitoring execution of decisions, and supporting the daily operations of the executive team.
Key Responsibilities:
- Provide full administrative support to the Board of Directors and Executive Management.
- Participate in all key meetings, including Board meetings, executive management meetings, and strategic planning sessions.
- Provide real-time interpretation (verbal translation) between Romanian/English and Russian/Ukrainian, and vice versa.
- Take accurate minutes of meetings, documenting decisions, assigned responsibilities, and deadlines.
- Follow up on action items and ensure timely execution of decisions.
- Manage executive calendars, coordinate appointments, and maintain an up-to-date schedule.
- Organize travel arrangements, including booking transportation and accommodations.
- Handle confidential and sensitive information with discretion and professionalism.
- Prepare and review correspondence, reports, and presentations as needed.
- Support investor relations, particularly with Ukrainian stakeholders.
- Assist with organizing events, visits, and business meetings.
- Perform additional tasks and special assignments as directed by the Board or Executive Management.
Requirements:
Languages:
- Fluency in Romanian, English, Russian, and/or Ukrainian (spoken and written) is a must.
- Proven ability to perform oral interpretation and written translation across these languages.
Experience:
- Experience as a Personal Assistant, Executive Assistant, or similar administrative role supporting senior management.
- Experience working with international teams, investors, or corporate boards is highly preferred.

- Exceptional organizational and time management skills.
- High level of responsibility, discretion, and confidentiality.
- Strong interpersonal and communication skills.
- Stress-resilient and able to handle pressure in high-stakes environments.
- Detail-oriented with the ability to take initiative and work independently.
- Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
Other:
- Willingness to travel within Romania if needed.
- Availability for occasional work outside standard hours depending on the Board's schedule.
