About the role:
The Office Assistant is responsible for managing domestic and international business trips and ensuring the smooth administrative operation of the office. This person acts as a liaison between teams, suppliers, and management, contributing to the company's operational efficiency.
Main Responsibilities:
- Organize and manage
business trips
(transportation, accommodation, per diems, travel documents); - Process and verify
expense reports
, ensuring accuracy and compliance with internal policies; - Handle
office supplies and procurement
(consumables, equipment, maintenance services, catering, etc.); - Maintain relationships with
suppliers
and negotiate cost-effective offers for ongoing purchases; - Coordinate
administrative contracts
(utilities, cleaning, technical maintenance); - Support the
HR team
in organizing internal events, trainings, and team-building activities; - Monitor the
administrative budget
and report expenses regularly to management; - Ensure a
safe, organized, and pleasant work environment
for employees.
Requirements:
- Minimum
2–3 years of experience
in an administrative, office management, or operational support role; - Strong knowledge of
Excel and Word
, as well as administrative and expense management processes; - Excellent
organizational, prioritization, and communication
skills; - Strong
attention to detail
and solution-oriented mindset; - Intermediate to advanced English
