Overview

We are seeking a highly organized and detail-oriented professional to join our medical team as an Appointment and Calendar Manager. The ideal candidate has experience scheduling patient visits, procedures, and follow-ups, and coordinating appointments across multiple platforms such as Calendly. This role supports clinical and administrative staff by ensuring schedules are accurate, reminders are sent, and HIPAA compliance is maintained.

By proactively managing appointments and coordinating schedules, this position saves valuable time for medical staff and ensures a seamless patient experience.

Key Responsibilities

  • Schedule and confirm patient visits, procedures, and follow-up appointments.
  • Sync calendars across platforms such as Calendly, Google Calendar, and EHR systems.
  • Send automated and manual reminders to patients and clinical staff.
  • Troubleshoot scheduling conflicts and resolve double-bookings.
  • Maintain accurate appointment records in EHR or scheduling systems.
  • Communicate with patients, medical staff, and administrative teams to confirm availability.
  • Support clinical operations with scheduling, coordination, and patient follow-up.
Requirements
  • Previous experience in medical scheduling, administrative support, or related healthcare roles.
  • Familiarity with Calendly, Google Calendar, or EHR scheduling systems.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Knowledge of HIPAA regulations and ability to maintain patient confidentiality.
  • HIPAA certification or demonstrated HIPAA compliance training.
