We have an opportunity for a
HR Business Services Specialist & Payroll Coordinator
to join our team in Romania.

You will be in charge of delivering transactional and specialist HR services – administration, onboarding and overall Employee Lifecycle. Daily activities of HR Specialist include HR data processing and payroll.

You need to have good communication and analytical skills, interest in the field and you need to be eager to learn.

Key Responsibilities

  • Process new hires, leaves, employee status changes and other employee events in Workday and other systems (Reges Online etc)
  • Process compensation changes, including promotions and other salary modifications
  • Participate in preliminary disciplinary hearings upon request and manage the implementation of disciplinary actions.
  • Create reports in Excel for local HR
  • Collaborate with local HR team and finance department to deliver high quality services that are compliant with global standards and meet business expectations
  • Maintain employee files and records to meet defined requirements
  • Continuously improve HR related processes via improvement projects
  • Update process-related documentation
  • Carry out additional tasks related to HR processes, as required by the role
  • Provide administrative support across a range of HR functions, ensuring efficient and compliant HR operations and contributing to a positive employee experience
  • Maintain and update employee records in HR systems and databases.
  • Support the onboarding and offboarding processes, including documentation and coordination.
  • Prepare employment contracts, letters, and other HR-related documentation.
  • Respond to employee queries regarding HR policies, benefits, and procedures.
  • Ensure compliance with labor laws and internal policies.
  • Support recruitment activities, including scheduling interviews and managing candidate communications.
  • Generate HR reports and assist with data analysis as needed.
  • Handle confidential information with discretion and professionalism.

Oversee All Payroll Operations And Ensure Accurate And Timely Preparation Of Payroll Reports (Assist With Payroll Data Input And Liaise With Payroll Teams To Ensure Accuracy)

  • Payroll Processing:

  • Ensure accurate and timely processing of employee payroll.

  • Collect and verify payroll data including hours worked, bonuses etc

  • Compliance & Documentation

  • Maintain compliance with local labor laws, tax regulations, and company policies.

  • Prepare and maintain payroll records and reports for audits and internal reviews.

  • Employee Support

  • Respond to employee inquiries regarding payroll, deductions, and tax forms.

  • Resolve payroll discrepancies and ensure timely corrections.

  • Coordination & Communication

  • Collaborate with HR and Finance teams to ensure alignment on payroll-related matters.

  • Coordinate with external vendors or payroll service providers when applicable.

  • Reporting & Analysis

  • Generate regular payroll reports for management and finance teams.

  • Assist in analyzing payroll trends and identifying areas for improvement.

  • System Management

  • Send to external payroll services information for update payroll systems and databases.

  • Benefits & Deductions

  • Ensure correct application of benefits, deductions, and statutory contributions.

  • Coordinate with benefits providers for accurate payroll integration

Qualifications

  • Good communication skills and customer service attitude
  • Ability to prioritize and multitask
  • Good computer skills (Microsoft Office, particularly Outlook, Excel and Word)
  • Strong analytical skills, attention to detail, focus on solution
  • Continuous Improvement mindset
