Front Desk Officer

As our
Front Desk Officer
, you will be the first point of contact for our visitors and partners, ensuring a professional image of the company while coordinating reception, correspondence, and administrative activities.

Key responsabilities

  • Manage incoming and outgoing correspondence (phone, email, mail, courier).
  • Welcome visitors, ensure proper protocol, and guide them to the right contacts.
  • Handle and distribute phone calls and messages efficiently.
  • Oversee reception area, meeting rooms, and shared office spaces.
  • Organize meeting rooms, including refreshments and required materials.
  • Coordinate deliveries, shipments, and liaise with courier companies.
  • Manage office supplies and ensure proper stock levels.
  • Support travel arrangements (flights, hotels, meeting room reservations).
  • Maintain communication with service providers (catering, cleaning, travel agencies).
  • Supervise cleaning staff and ensure standards are met.
  • Provide administrative support, including document management and archiving.

Requirements

  • Previous experience in a similar role (front desk, reception, office admin)
  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Proficient in MS Office and comfortable with digital tools
  • Proactive, detail-oriented, and solution-driven attitude
