Office Administrator

Asteptarile noastre:

- Fiind o pozitie cu sarcini diverse va trebui sa fii foarte organizat/a si sa iti poti planifica singur/a munca;
- Apreciem persoanele care reusesc sa gaseasca intotdeauna solutii la situatiile neprevazute;
- Abilitati excelente de comunicare si relationare atat oral cat si scris in limba romana sunt o necesitate, la fel si cunoasterea limbii engleze la nivel mediu-avansat atat oral cat si scris;
- Cunostinte medii Microsoft Office (Word, Excel, Power Point, Outlook);
Responsabilitatile rolului:
- Intampina si directioneaza vizitatorii care vin la sediul companiei;
- Mentine si promoveaza un mediu de lucru curat si profesional pentru zona receptiei, a salilorde intalniri si a intregului birou;
- Inregistreaza, completeaza, scaneaza, arhiveaza si tine evidenta documentelor primite/existente la sediul companiei;
- Tine evidenta rezervarilor pentru salile de intalniri;
- Tine evidenta rezervarilor pentru masinile de companie;
- Atunci cand este necesar, editeaza si traduce prezentari, documente si rapoarte;
- Gestioneaza adresa de email pentru sediul central;
- Gestioneaza comenzile de consumabile pentru birou si a produselor de protocol;
- Achizitioneaza echipamente mici specifice pentru birou sau necesare angajatilor (de exemplu, telefoane mobile);
- Gestioneaza si mentine la zi baza de date cu instrumentele de lucru ale angajatilor, cum ar fi telefoane mobile, laptopuri, tablete;
- Redacteaza protocoalele de predare-primire si procedeaza la predarea, respectiv primirea cu angajatii a instrumentelor de lucru;
- Este contact direct pentru partenerii de servicii pentru birou, ca exemplu: curatenie, mentenanta echipamentelor de birou;
- Expediaza catre magazine si colaboratori documentele necesare provenind de la diferite departamente si gestioneaza activitatile de posta/curierat la intrare si la iesire (primire si trimitere);
- Este primul contact cu angajatii din magazine in cazul controalelor de la autoritatile locale si redirectioneaza nevoile specifice catre departamentele dedicate;
- Pregateste imputerniciri pentru angajatii din magazine pentru a reprezenta Societatea in relatia cu autoritatile locale;
- Coopereaza pentru organizarea evenimentelor legate de sediul central si pentru angajatii sediului central;
- Ofera suport constant departamentelor de la sediul central in diferite activitati administrative;
- Gestioneaza si alte activitati conexe de secretariat si Front Desk.
