Discover the Role

As a Receptionist, you will be a vital part of our dynamic office in Bucharest. You will be helping to keep our day to day operations smooth and organized by managing inquires, coordinating schedules and supporting the team with important tasks. Some responsibilities of the role include answering and directing phone calls, answering emails, greeting visitors and performing general administrative and office management tasks. You will also contribute to our culture of care and respect by managing inquires with patience and providing helpful assistance.

Key Responsibilities

  • Daily functional check of the equipment and appliances at the reception desk
  • Verifying the functionality of the meeting room and reserving/preparing it for necessary meetings, including managing associated logistics (together with IT support)
  • Ensuring the supply of consumables (water, tea, coffee, etc.) and office supplies together with the Facility team
  • Managing phone calls, taking messages, and directing calls to the appropriate people according to TMF procedures
  • Welcoming visitors and guiding them to the appropriate meeting rooms, ensuring proper protocol
  • Responding to other requests from different departments (e.g. GEM – document scanning requests, supporting teamwork when needed for primary accounting for the AMREST client)
  • Organizing Pizza Day
  • Managing the email address -
  • Responsible for receiving internal/external correspondence and distributing it in accordance with TMF policies and procedures
  • Managing correspondence (tracking in an Excel register) and received emails
  • Ensuring courier services by generating AWBs for correspondence sent to clients or authorities, through FAN Courier service
  • Responsible for archiving and scanning correspondence or other documents for other departments, in accordance with the company's internal rules
  • Responsible for preparing letters or any form of written communication with clients, state institutions, or third parties in English or Romanian, in line with TMF's internal correspondence standards, at the request of the direct supervisor or general managers
  • Responsible for meeting deadlines for each assigned task
  • Responsible for keeping the personal workspace tidy and clean, and at the end of the workday archiving documents in folders and storing ring binders in the appropriate cabinets (clean desk policy)
  • Ensuring the confidentiality of data and information – not disclosing internal or client-related information to third parties
  • Responsible for complying with occupational health and safety rules and fire prevention standards
  • Other administrative tasks depending on the specific needs of departments / TMF

Ideally you are meeting following hiring criteria:

  • Good organizational skills and strong sense of time management;
  • Ability to communicate clearly, professionally and warmly;
  • Customer service orientation;
  • Attention to detail and problem solving;
  • Good knowledge of English language is mandatory;
  • Good computer skills and experience with Microsoft Office Suite
