Reporting to the SPB Head of Location, you will enhance the effectiveness of your manager and the organizational entity by managing complex dossiers and overseeing logistics. Your role ensures optimal conditions in terms of timing, reliability, compliance, and administrative support across various business tasks and projects. 

Responsibilities

Under the authority of the SBP Head of Location, the main responsabilities are : 

Welcome internal and external contacts, offering guidance, assistance, and expert advice to meet their needs. 

Manage administrative tasks for the SBP Head of Location and the team, including planning, organizing meetings, and ensuring smooth travel logistics for team members and cross-functional projects. 

Efficiently handle phone calls and appointments by tracking, filtering, and prioritizing messages, while managing complex agendas. 

Manage correspondence, draft response letters and templates, and design visual aids for presentations as required. 

Facilitate the collection, circulation, and distribution of information from various Group departments and external sources, ensuring effective communication flow. 

Compile and organize essential files for SBP operations, maintain document filing, arrange team meetings, and produce meeting minutes. 

Assist in organizing and monitoring projects, while preparing, managing, and tracking budgets associated with the SBP. 

Coordinate travel arrangements and oversee expense reports for the SBP Location Head and Organizational Efficiency, along with their direct reports. 

Manage or support the local organisation of team events, social gatherings, and other such aspects of the location  

Co-ordinate with various service providers to enhance the well being of all the staff in the office and trouble shoot any local challenges 



Qualifications

Executive Support Experience: Extensive experience in supporting senior management and handling multi-team operations with high-level confidentiality and reliability. 

International Environment Proficiency: Adaptability to a fast-paced, international work setting with keen attention to cultural nuances and needs. 

Organized and Detail-Oriented: Strong organizational skills with a methodical approach and excellent written communication abilities. 

Team Collaboration and Communication: Proven ability to work autonomously and collaboratively within a team, utilizing communication skills to enhance service and foster positive exchanges. 

Discretion and Initiative: Recognized for efficiency, with proven responsiveness, initiative, and discretion, capable of managing priorities effectively. 

Operational Excellence: Precise and detail-focused, dedicated to high-quality service and maintaining a positive image with stakeholders. 

Language and Tool Proficiency: Fluent in English and proficient with office tools (Outlook, Word, Excel, PowerPoint) to facilitate efficient and effective operations.

Holder of Executive/ Manager Assistant degree or equivalent qualification
