Sales Admin Specialist
to support our Sales team and ensure smooth coordination with Key Account clients in the hospitality sector.

Role Overview

In this role, you will provide comprehensive administrative support to the Sales team, maintain accurate documentation, and contribute to efficient client management. You will collaborate closely with Area Sales Managers and Key Account representatives, ensuring that all processes run smoothly and in full compliance with internal procedures.

Key Responsibilities

Administrative & Documentation Support

  • Verify contracts, addendums, and related documents to ensure completeness and accuracy.
  • Register documents in internal systems and maintain updated records for all existing clients.
  • Provide general administrative support, including scheduling meetings, preparing documents, and managing correspondence.
  • Prepare license proposals for existing Major Accounts and new Major Accounts when required.

Database & Records Management

  • Maintain organized digital and physical filing systems for sales contracts, agreements, and client documents (e.g., within RightNow).
  • Track outgoing and incoming documentation and ensure proper archiving.

Sales Operations Support

  • Assist the Sales team with day-to-day administrative needs to ensure efficient internal coordination.
  • Support the adherence to all company policies, procedures, and compliance requirements.

Qualifications & Requirements

Education & Experience

  • Bachelor's degree (completed higher education).
  • Previous experience in administrative support or a similar role.

Languages

  • Advanced English
    (spoken and written).

Technical Competencies

  • Solid proficiency with
    Microsoft Office Suite
    (intermediate–advanced level).
  • Strong computer skills with experience using CRM systems.

  • Strong communication abilities: empathy, diplomacy, persuasion, and proactive engagement.
  • Effective presentation skills and confidence in customer communication.
  • Ability to collaborate within a team while demonstrating initiative and ownership.
