Job Summary:

We are seeking a proactive and detail-oriented
Assistant Office Manager
to support the smooth daily operations of our office. The ideal candidate will provide administrative support across multiple functions, including
HR administration, basic finance and accounting processes
, and general
office management
tasks. This role is essential in ensuring organizational efficiency and a positive work environment.

Key Responsibilities:

HR Administration Support

  • Draft, maintain and update employee records, contracts, additional documents and HR databases (e.g., onboarding documents, timesheets, benefits).
  • Assist the recruitment team for new hiring (scheduling medical visits, processing hiring documents).
  • Ensure compliance with labor laws and internal HR policies.
  • Act as a point of contact for staff regarding HR-related inquiries and policy clarifications.

Finance & Accounting Support

  • Assist in processing and organizing invoices, receipts, and expense reports.
  • Coordinate with the finance team or external accountants to ensure timely payroll processing.
  • Help with procurement and supplier payments by collecting quotes and managing orders.

Office Administration

  • Serve as the liaison with vendors and service providers (e.g., cleaning, IT support, facility management).
  • Support travel arrangements and logistics for staff
  • Ensure compliance with health, safety, and office security regulations.
  • Maintain filing systems and office documentation (physical and digital).

Requirements:

Qualifications:

  • Bachelor's degree in Business Administration, HR, Finance, or a related field preferred.
  • 2+ years of relevant experience in office administration, HR, or finance support.

Skills & Competencies:

  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • High attention to detail and confidentiality.
  • Familiarity with HR software, accounting tools (Microsoft Office, Excel), and office systems.
  • Problem-solving attitude with a proactive mindset.
  • English – advanced level
  • French – nice to have
