Back Office & Support Clerk
to join our office in
Bucharest, Romania
.

This position gives you the opportunity to develop your skills in the freight forwarding operations and basic accounting areas, and we welcome applications from motivated, entry-level candidates as well.

Your Responsibilities

  • Accurately and promptly entering order-related data into the company's system.
  • Processing information in line with provided instructions and established procedures.
  • Validating individual invoices and sending them to clients within the specified deadline.
  • Performing bulk invoice validation, analyzing amounts due from clients, and ensuring timely submission of invoices.
  • Reviewing supplier invoices and approving them for payment in accordance with internal procedures and deadlines.
  • Archiving documents in compliance with legal requirements and internal regulations.
  • Generating, analyzing, and submitting performance indicators (KPIs) to clients and suppliers, meeting agreed deadlines.
  • Preparing credit/debit notes and cost adjustment reports, and updating the system accordingly.
  • Providing support to the ROAD, ASF, and SALES departments as needed.
  • Performing additional tasks specific to the role, as assigned by the direct manager.

Your Profile

  • Completed secondary education or higher education.
  • Approximately 2 years of previous experience on a similar role would be an advantage.
  • Proficiency in PC operation, particularly the Microsoft Office package (Excel, Word, Outlook) and openness to learn other software systems as well.
  • At least a medium level of fluency in English.
  • Basic understanding of the transport industry together with a basic understanding of European geography would be an advantage.
  • Excellent self-organization and time management, with the ability to plan and prioritize tasks efficiently.
  • Warm and professional communication style, both in person and in writing, ensuring a positive first impression for visitors and callers.
  • Reliable and detail-oriented, with a structured approach to administrative tasks and record-keeping.
  • Flexible and adaptable, able to remain composed and solution-focused in a fast-paced environment.
  • Strong team player, open to collaboration and always ready to support colleagues when needed.
  • Customer-focused mindset, with a natural ability to assist others and provide helpful, courteous service.
  • Proactive problem-solving skills, with a practical and resourceful attitude toward day-to-day challenges.
