Blue Projects is seeking a Bidding Specialist to support its expanding global presence in the industrial sector. This role is ideal for a strategic and detail-oriented professional looking to make an impact within a fast-growing consulting firm.

The Bidding Specialist will be responsible for managing the full cycle of the tender and bidding process and collaborating with internal stakeholders to ensure timely and compliant submissions.
Key Responsibilities
Tender Management
- Receiving bid enquiry documentation: Logging documentation in control software, communicating the enquiry to appropriate stakeholders, and establishing the bid file structure.
- Managing the bid timeline: Developing and maintaining a detailed timeline for the bid process and coordinating with teams to ensure deadlines are met.
- Tracking progress: Monitoring each bid component (technical, financial, legal, commercial) and escalating delays.
- Coordinating bid team activities: Leading internal teams (legal, finance, technical) to ensure timely deliverables.
- Bid document preparation and review: Overseeing preparation, review, and approval of bid documents.
- Ensuring compliance with bid deadlines: Managing submissions to meet client or tender authority deadlines.
- Risk assessment and mitigation: Identifying potential delays and implementing mitigation strategies.
- Bid submission tracking: Ensuring proper submission and tracking status.
- Handling bid clarifications: Responding to client requests with support from internal teams.
- Post-submission follow-up: Confirming bid receipt, addressing queries, and managing evaluation process.
- Maintaining bid documentation: Organizing and archiving bid-related documents for future reference.
Internal Collaboration
- Developing and maintaining positive relationships with internal teams and stakeholders.
- Keeping accurate records of bid-related documentation and updates.
- Entering and updating information in digital platforms as required.
Qualifications & Skills
- Bachelor's degree in Marketing, Business Administration, or a related field.
- Minimum of 3 years of experience with a strong focus on tender administration.
- Strong project management and organizational skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Fluency in English (mandatory); additional languages (German / French / Italian / Spanish) are a plus.
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively.
- Experience with Salesforce and SAP is an advantage.
- Availability for local and occasional international business travel.
- Flexibility to meet client deadlines, including outside normal office hours.
- Ability to facilitate decision-making in ambiguous situations.
