Compliance Coordinator

The Compliance Assistant - Insurance and Claims is responsible for supporting the company's insurance compliance and risk management functions. This position works closely with the insurance broker and internal departments to ensure all required insurance policies are secured, maintained, and renewed on time. The role also manages certificates of insurance (COIs), coordinates with Accounting on policy payments, assists with audits and inspections, and supports claims administration to ensure timely and accurate resolution.
Requirements- Education: Associate's or Bachelor's degree preferred (Business Administration, Legal Studies, or related field).
- Experience: experience in insurance coordination, compliance, or risk management preferred.
Skills:
Strong organizational and administrative skills with attention to detail.
- Understanding of insurance documentation, COIs, and claims processes.
- Proficiency in Microsoft Office (Excel, Outlook, SharePoint).
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, deadlines, and stakeholders simultaneously.
- Familiarity with insurance terminology and policy types (GL, WC, Auto, Umbrella, Property) is an asset.
Key Responsibilities
Responsibilities:
- Coordinate with insurance agents and brokers to obtain, renew, and update company insurance policies (general liability, auto, workers' compensation, umbrella, etc.).
- Maintain a comprehensive insurance schedule and track policy expirations, renewals, and limits.
- Manage Certificates of Insurance (COIs) for clients, subcontractors, and project requirements.
- Communicate with internal departments and project managers to provide required insurance documentation for bids, contracts, and compliance reviews.
- Collaborate with Accounting to ensure accurate processing of insurance invoices, payments, and premium adjustments.
- Maintain organized digital records of all policies, COIs, correspondence, and audit documentation.
- Assist with insurance-related audits and inspections by gathering required data and coordinating with brokers and insurers.
- Support the Compliance Manager in identifying coverage gaps, policy changes, and additional insured endorsements as required by contracts.
- Coordinate with subcontractors and vendors to ensure they maintain required insurance coverage and submit valid COIs.
Assist with damage or incident claims:
Submit claims to insurers and track progress through resolution.
Maintain communication with insurers, adjusters, and affected parties to ensure timely updates.
Prepare reports summarizing insurance activities, claim statuses, and renewal timelines for management review.
