We are seeking a detail-oriented and proactive Project Coordinator - Rebate Specialist (Mid Level) to join our growing team in Bucharest.

Key Responsibilities
  • Support end-to-end project execution from initiation through close-out.
  • Verify rebate eligibility and ensure compliance with program requirements.
  • Collect and organize required documentation from clients.
  • Assist with equipment procurement activities.
  • Coordinate construction schedules and support project logistics.
  • Oversee equipment commissioning and ensure completion of start-up processes.
  • Complete all project close-out tasks and documentation requirements.
  • Monitor and track project progress, providing regular updates to internal and external stakeholders.
  • Collaborate with utility providers to manage rebate applications and resolve program-related issues.
  • Work closely with Sales and the Rebate Manager to confirm eligibility criteria and ensure smooth submission of applications.
  • Contribute to process enhancements and continuous improvement initiatives.
  • Prepare documentation for rebate submissions and project close-out packages using data from estimates, RFPs, and proposals.
  • Attend and participate in webinars, program briefings, and meetings with rebate program representatives.

Skills, Knowledge and Expertise
  • Proficiency with the Microsoft Office Suite, with a strong emphasis on Excel for data analysis, reporting, and documentation.
  • Hands-on experience with CRM systems, particularly Jira and/or Salesforce, with the ability to manage workflows, track progress, and maintain accurate records.
  • Strong verbal and written communication in English (B2 level or higher).
  • Excellent time management and multitasking abilities.
  • High attention to detail and accuracy.
  • Adaptable, organized, and deadline-driven.
  • Fast and effective problem-solving skills.
Work schedule: Monday - Friday from 15:00 till 23:00
