Introduction

We are seeking a detail-oriented and reliable Billing Specialist to support the day-to-day billing operations of our organization. This role will be responsible for preparing and issuing invoices, maintaining accurate client records, resolving billing discrepancies, and ensuring timely and accurate billing in accordance with company policies and procedures. The ideal candidate will bring a strong focus on accuracy, efficiency, and client service.

Responsibilities

Billing

  • Oversee the preparation, review, and issuance of accurate and timely invoices for clients.
  • Reconcile invoices after submission to third-party/bespoke invoicing portals to ensure compliance with client invoicing requirements.
  • Manage and resolve billing discrepancies and customer inquiries promptly and efficiently, maintaining high client satisfaction.
  • Maintain up-to-date client records in the group accounting tools.

Data Management

  • Maintain up-to-date client billing information and documentation in the accounting and invoicing systems.
  • Assist with the entry and validation of billing-related data for reporting and reconciliation purposes.

Process Support

  • Follow standardized billing procedures and ensure adherence to internal controls.
  • Identify minor inefficiencies or discrepancies in billing workflows and escalate them for resolution or improvement.
  • Assist with testing and adoption of billing tools or system enhancements.

Compliance and Accuracy

  • Ensure all billing activities are compliant with internal policies and applicable tax regulations.
  • Support internal reviews and audits by providing accurate billing records and documentation.

Reporting Support

  • Generate basic billing reports and summaries as required.
  • Support the finance team with billing-related data during month-end closing or audit preparation.

Required Skillset

Education:

  • Experience or education in fields such as finance, accounting, business administration, or a related field. Formal degrees are welcome but not required.

Experience:

  • 2-4 years of experience in billing, accounts receivable, or a similar role, preferably in a group or multinational environment.
  • Experience working with ERP or accounting systems (e.g. Exact, SAP, or similar).

Technical Skills:

  • Proficiency in Excel and financial software.
  • Familiarity with invoicing systems and a willingness to learn automation tools.

Soft Skills:

  • High attention to detail and accuracy.
  • Strong communication and problem-solving skills.
  • Ability to manage time effectively and meet deadlines.
  • Customer service mindset and ability to work well with internal teams and clients.

Languages: English is a must
