POSITION OVERVIEW SUMMARY

The main objectives of the Activities Director are to: plan, coordinate, implement, supervise and evaluate the activities program; provide quality activity participation opportunities for all students; communicate efficiently and clearly with members of the community; recruit and support the leaders and activities staff.

In partnership with the AISB Athletics Director, they will work directly with administration, coaches, directors, activity sponsors, students, teachers and parents across the whole school. This will include developing a balanced and inclusive vision for all co-curricular activities and events. This position will require flexible working hours depending on events. It is estimated that this role contains at least 10 Saturdays on campus leading or supporting events The Activities Director provides strategic leadership and operational management for the school's co-curricular and enrichment programs, ensuring alignment with the school's mission, vision, and values.

The program should promote inclusion, belonging, and equitable access for all students.

QUALIFICATIONS & SKILLS
Education & Certification
  • Master's degree in Education, Leadership, or Sports/Activities Management
  • Valid teaching certification
Experience
  • Minimum of three years of successful teaching and directing or coaching experience
  • Experience with organizing large and diverse athletic or activity events
  • Experience in developing and implementing new programs
  • Knowledge of health and safety regulations and first aid within a school context
  • Experience in outdoor education and/or organizing school trips
  • Experience working in international or multicultural school environments

ESSENTIAL RESPONSIBILITIES
Plan and deliver a long-term vision for co-curricular growth and participation. Ensure the activities program aligns with both the athletic program and the school's strategic plan (Future Design Commitments) and values.
Program Planning and Management:
  • Plan, coordinate, implement, supervise, and evaluate the activities and Co-Curricular Activities (CCA) program.
  • Communicate with all stakeholders (in cooperation with the Athletics Director) organize the
  • KG, Elementary, and Secondary School CCA offerings for each season
  • provision of coaches and activity leaders
  • CCA schedule and CCA sign-up procedure
  • Plan, lead, and manage CEESA tournaments and events, as well as internal activities.
  • Plan, lead, and manage local BISAAC tournaments and events, as well as internal activities.
  • Understand and implement the rules, regulations, and codes of CEESA and BISAAC events.
  • Represent AISB in the CEESA Athletic/Activity Directors group.
  • Represent AISB at the Bucharest International Schools Athletics & Activities Conference (BISAAC) and maintain contacts with local schools and teams.
  • Support large community events such as the Terry Fox Run.
Communication and Coordination:
  • Communicate with all stakeholders, in cooperation with the CCA Assistant , to organize the Primary CCA offerings for each season.
  • Coordinate with Admin, Facilities, Arts Department, and PE HODs to schedule facilities usage.
  • Liaise with the communications department to showcase the activities program.
  • Ensure the activities programs follow current risk management and health & safety procedures (writing and reviewing Risk Assessments for CCA Trips).
  • Work with the IT department to ensure a fair and equitable signup process for CCAs (Scholastico).
  • Serve on the school's Facilities and Operations Committee and Health & Safety Committee.
Community Engagement and Promotion:
  • Promote team spirit and celebrate co-curricular achievements with the whole community.
  • Establish systems to highlight and celebrate program events and successes within the community (assemblies, parent meetings, weekly newsletters, school reports).
  • Take a leading role in raising awareness about CCA events in school publications, assemblies, and parent events.
  • Play an integral role in promoting positive school spirit.
  • Build external partnerships with local organizations, other international schools, and service providers to enrich student opportunities.
Supervision and Support of the CCA Assistant:
  • Work hand-in-hand with the CCA Assistant to organize activities, manage communication, and oversee supervision, attendance, and dismissal of the CCA Program.
  • Provide guidance and support in planning and leading internal events (e.g., Gymnastics, Fencing, BISAAC events, etc.).
  • Conduct performance reviews of the CCA Assistant in coordination with the school-wide Professional Learning Program.
  • Offer ongoing advice and mentorship to support the CCA Assistant's professional growth and contribution to the overall CCA program.
Recruitment and Development:
  • Recruit coaches and activity leaders for the CCA program.
  • Help on-board coaches and student-leaders and provide in-service education for their development.
  • Monitor student-athletes/performers' eligibility in cooperation with school administration.
Elementary School Experiential Trips:
  • Work in partnership with the administration to plan and implement school trips within the elementary school.
  • Ensure that trips are planned in cooperation with the SS experiential week.
  • Make connections with travel agents and venues, and arrange transport with the CCA Administrative Assistant.
  • Send out communication to parents as directed by trip leaders, and respond to queries.
  • Collate and distribute medical and dietary information as appropriate.
  • Be responsible for the travel packs (medical) and other preparations for school trip leaders to take on the trip.
  • Review trip risk assessments to ensure they are fit for purpose.
  • Keep up to date with school trip best practices to ensure health, safety, and safeguarding requirements are met.
  • Evaluate trips and suggest improvements for the future.
Oversee the Emergency First Responder Program:
  • Work in partnership with the health office to plan, manage, and train faculty and staff in emergency first aid (EFR/CPR/AED).
  • Deliver First Aid Training sessions at AISB to faculty and staff.
  • Keep a detailed list of all faculty certification status.
  • Ensure the proper training materials are ordered and ready for the course.
  • Liaise with PADI Europe for certification and ordering of participant codes.
  • Process AISB teacher data in cooperation with PADI for certification.
