Facilities Assistant

Job Description
We are currently seeking a diligent and personable individual to join our team as a Facilities Assistant. The primary responsibility of this role is to support the smooth operation of our facilities, with a focus on providing excellent customer service and administrative assistance.

Job Responsibilities:

• Greet and welcome individuals via phone, email, or in person, ensuring a positive experience for all visitors.
• Manage incoming calls and direct them to the appropriate personnel. Maintain a tidy and organized reception area.
• Maintain accurate files and records using efficient filing systems.
• Assist various teams with administrative tasks such as call redirection, correspondence distribution, and scheduling meetings.
• Coordinate facility logistics, including workspace organization, training room setup, and meeting arrangements. Monitor and manage stock levels of office supplies, water, coffee, etc., by placing orders and tracking deliveries. Build and maintain relationships with external agencies and suppliers. - Facilitate the onboarding and departure processes for employees, including providing initial work information and managing access permissions.
• Coordinate maintenance services and repairs for premises and equipment as directed by the Senior Facility Assistant or Facility Manager.
• Handle requests related to mobile telephony, including activation, deactivation, and upgrades, under supervision.
• Manage document registration and shipment through postal offices.

Job Requirements

Requirements:

• Excellent communication and interpersonal skills.
• Strong organizational abilities and attention to detail.
• Proficiency in MS Office suite.
• Ability to multitask and prioritize tasks effectively.
• Previous experience in a receptionist or administrative role preferred.
• Knowledge of facility management procedures is advantageous.
