We are seeking a
Project Manager, Facilities and Business Systems to join Glass Lewis RO team.
As Project Manager, you will be responsible for the coordination, implementation, control, and completion of:

  1. Facilities projects
    – including
    office build-outs, renovations, enhancements, and relocations
    across our 11 global offices.
  2. Business systems implementations
    – including off-the-shelf software deployments.
  3. Other workplace and business initiatives as assigned.

This role requires both
strategic planning
and
hands-on delivery
, with a strong emphasis on vendor coordination, stakeholder alignment, and ensuring all projects are delivered on time, on budget, and to a high standard.

Based in Timisoara, ON (Hybrid – 3 days/week in office), you will operate in a truly global delivery environment, engaging stakeholders across EMEA, North America, and APAC regions.

Job Requirements

Key Skills Required

  • Strong project management skills with practical experience applying recognized methodologies (e.g., PMBOK, PRINCE2) to deliver projects on time, within scope, and in alignment with quality expectations.
  • Proven ability to manage multi-site, cross-departmental facilities projects, including office renovations, relocations, and workplace enhancements.
  • Technical proficiency to support business system projects, including the ability to read and interpret technical documentation, understand system architecture at a high level, and liaise effectively with IT teams and vendors.
  • Proficiency in Asana for planning, progress tracking, and task management.
  • Advanced skills in Microsoft Excel and PowerPoint, with the ability to prepare and present high-quality project documentation.
  • Strong analytical and problem-solving capabilities, with a proactive approach to identifying and resolving risks or issues.
  • Excellent organizational skills, attention to detail, and ability to manage competing priorities effectively.
  • Highly proficient in English, with excellent business communication skills — both written and verbal.
  • Strong interpersonal and stakeholder management skills to build effective relationships across diverse teams and geographies.
  • Skilled in vendor negotiation and management, with the ability to drive accountability and performance.

Education and Experience

  • Undergraduate degree in Business, Project Management, Computer Science, Facilities Management, or related discipline.
  • 5+ years of facilities project management experience, ideally within a global, multi-site organization.
  • Demonstrated experience supporting or coordinating business system migrations or new system implementations, including working with technical teams and vendors.
  • Familiarity with compliance, data privacy, and regulatory requirements related to system deployments and workplace projects.
  • Project Management certification (PMP, PRINCE2, or equivalent) preferred.
  • Experience in change management and cross-functional stakeholder engagement is an asset.
  • Background in interpreting technical documentation and understanding system integration requirements at a high level is an advantage.

Job Responsibilities

1. Project Planning & Execution

  • Work with stakeholders to define project scope, objectives, deliverables, and success measures.
  • Develop detailed project plans, including timelines, milestones, approvals, resource requirements, and budget estimates.
  • Identify project team members and assign responsibilities.
  • Coordinate with department managers to allocate resources effectively.
  • Apply industry best practices, techniques, and standards throughout execution.
  • Maintain comprehensive project documentation from initiation to close-out.

2. Risk, Budget & Vendor Management

  • Anticipate potential risks and develop mitigation strategies to minimize impacts.
  • Oversee vendor management, including selection, onboarding, and performance monitoring.
  • Negotiate and manage contracts to ensure value for money, risk reduction, and adherence to timelines and quality expectations.
  • Support budget adherence by monitoring expenditures, validating vendor invoices, and ensuring accurate reporting in collaboration with Finance and budget owners.

3. Facilities Projects

  • Lead end-to-end office relocation, renovation, and expansion projects — from planning to occupancy — under the direction of the Interim Facilities Director.
  • Coordinate with landlords, architects, contractors, and vendors to ensure timely, on-budget delivery.
  • Oversee procurement and installation of furniture, fixtures, and equipment (FF&E).
  • Ensure compliance with local building codes, safety regulations, and permitting requirements.
  • Plan and coordinate IT and AV infrastructure setup in collaboration with the IT team.
  • Develop move-in/move-out and transition plans to minimize operational disruption.
  • Manage relationships with facilities service providers for ongoing support.

4. Business Systems Implementation

  • Work with functional teams to support system migrations or new system implementations (e.g., HRIS, collaboration platforms).
  • Assist in defining business requirements and ensuring alignment with operational needs.
  • Coordinate with vendors and internal teams for configuration, integration, testing, and deployment activities as needed.
  • Support user acceptance testing (UAT) and resolution of identified issues.
  • Contribute to change management efforts, including communications, training coordination, and post-implementation follow-up.
  • Ensure system deployments comply with applicable data privacy, security, and regulatory requirements, working closely with internal compliance and technology teams where needed.

5. Stakeholder & Communication Management

  • Serve as the primary point of contact for project stakeholders across global offices.
  • Provide clear and timely updates to leadership on progress, risks, and required decisions.
  • Build collaborative internal relationships across departments and geographies.
  • Ensure all stakeholders have visibility into project milestones, dependencies, and potential impacts.
