About the Role
We are seeking an experienced
Subcontract Administrator / Senior Quantity Surveyor
to support the administration of multiple construction subcontracts within a major industrial project. The role involves managing commercial and contractual aspects, ensuring compliance with project procedures, coordinating change management processes, and maintaining auditable documentation.
This is a site-based position in Ploiești, ideal for professionals experienced in large-scale Chemical or Oil & Gas projects.
Key Responsibilities
Contract Administration
- Participate in subcontract Kick-off Meetings and communicate all administrative and contractual procedures.
- Oversee unit rate accounting, measurement methods, guarantees, and insurance compliance.
Progress Payments
- Review and approve Progress Payment Certificates (PPCs) per contract requirements.
- Coordinate internal (Wood) and external (Client) authorizations.
- Issue authorization-to-invoice letters to subcontractors.
Change & Claims Management
- Evaluate subcontractor claims and compensation requests.
- Lead negotiations and prepare Change Orders (CHOs).
- Obtain approvals, track execution, and validate final cost proposals.
Commercial Coordination
- Organize weekly subcontracting meetings and issue detailed Minutes of Meeting.
- Monitor correspondence and draft official letters for management review.
Cost & Quantity Verification
- Ensure accurate pre- and as-built unit rate accounting.
- Resolve discrepancies with subcontractors alongside the administration manager.
Compliance & Documentation
- Track back charges, penalties, extra works, and contract close-out activities.
- Maintain complete, organized, and auditable contractual records.
- Monitor insurance and bank guarantee validity.
Skills & Qualifications
The ideal candidate will:
- Hold an
Engineering or technical degree
with
5+ years of experience in subcontract administration
at construction sites in the Chemical or Oil & Gas sector. - Experience in Romania is a plus.
- Have
strong English communication skills
(Romanian is an advantage). - Be proficient with
MS Office
, especially advanced Excel functionalities. - Demonstrate excellent
communication, negotiation, and leadership abilities
. - Be comfortable working in an
integrated, multidisciplinary project team
and supervising Quantity Surveyors. - Be
eligible to work in the European Union
and available for full-time site presence.
Contract Details
This role is offered on a
fixed-term basis
from
1 December 2025 to 31 October 2027
