About the Role

We are looking for a proactive and highly organized 
People & Operations Assistant
 to support the smooth running of our administrative, HR, and operational processes.This role is central to supporting both employees and external partners, making sure everything from payroll to office logistics runs seamlessly.

This is a remote position, with day-to-day work carried out from home. However, certain tasks may require occasional visits to our office in Bucharest (such as signing official paperwork, handling matters with public institutions, or attending company events). These instances are rare, usually no more than 1–2 times monthly, so we are looking for candidates based in Bucharest.

Key Responsibilities

HR & Employee Support

  • Keep employee records and personnel files up to date.
  • Prepare basic HR documents (timesheets, certificates, onboarding/offboarding paperwork).
  • Be the first point of contact for employees on administrative matters.

Operations & Vendor Coordination

  • Communicate with external providers (HR, payroll, accounting, benefits, health & safety).
  • Track monthly deadlines and ensure documents are delivered on time.
  • Support payments and invoicing processes.

Office & Administrative Support

  • Manage correspondence and filing of documents.
  • Order office supplies and coordinate repairs or replacements of equipment.
  • Organize travel arrangements and reimbursements.
  • Provide general support with day-to-day administrative tasks.

About You

  • 1–2 years of experience in an administrative, HR support, or office assistant role.
  • Organized, detail-oriented, and reliable.
  • Good communication skills in Romanian and English.
  • Comfortable with Microsoft Office tools.
  • Willingness to learn and take initiative.
