Junior Document Controller

Role overview:

The Site Document Controller
is responsible for managing and coordinating the project documentation during the Project life cycle. Works closely with the Lead Document Controller, Project Manager, Design Manager, QC Specialist and provides support to the Construction Project Team. Reports to Lead Document Controller and Project Manager / Director.

Place of work:

We are looking for a professional who will work full-time, Mon-Fri, 9-18:00 (fixed hours), from our site office located in
Iasi.

The Role You'll Play

• Prepare Project Documents Management Plan according to company procedures and necessary workflows (how the documents shall be elaborated, numbered, reviewed, approved, transmitted, stored, distributed, and archived, how the changes for deliverables and other documents shall be handled during the project life cycle;

• Check the correctness of documents (Template, Document and page numbering, issue / revision identification, document number and classification, short signatures for originator, checkers and approved by etc.);

• Act as Focal Point between design management team and project site team to maintain awareness of critical issues that may affect delivery of services;

• Acts as interface with contractor's document controllers, receiving documentation, advising on documents formats and numbering;

• Responsible for sending & receiving documentation using correct workflows and recipients, ensuring that all documents are registered and tracked;

• Coordinate document related activities with Project members and Design Review contractors;

• Ensure the distribution of required documents to all project members involved;

• Update MDR (Master Document Register), Document Log Register, maintaining files and control logs as required by internal procedures;

• Use SharePoint for documents storage;

• Ensure a document control archive for filling documents in an orderly manner for easy access;

• Ensure that latest revisions are always known and available (especially Chapter A from the Construction Book);

• Participate in project meetings, take and distribute minutes to participants;

• Coordinate with project participants to maintain timely and effective document controls process, procedures, and systems;

• Advise the Document Control Lead in relation to documentation management system improvement opportunities;

• Establish and maintain communications to ensure accurate and timely flow of information.

Job Requirements/Qualifications/Experience:

• Bachelor's degree or University (Certificate on Document Controlling represents an advantage)

• Moderate to advanced knowledge of Microsoft Office Applications (Excel, Word, PowerPoint, Teams, Visio & Outlook);

• Work experience in Construction Projects represents an advantage;

• Good communication skills and good attention to the details;

• Familiarity with document control / management systems;

• Ability to administrate / work with online Platforms such Share Point, Plan Radar, BIM 360, or Autodesk Construction Cloud (represents an advantage);

• Ability to work independently, multi-task, prioritize and meet deadlines;

• Expected to utilize independent judgment to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job;

• Ability to interact in a professional and respectful manner;

• Experience in dealing with confidential and highly sensitive materials and deadlines;

• Solid knowledge of English language (writing, speaking and reading).
