HR Admin Romania Specialist
Your Role:
As part of our HR Administration team in Cluj, your main objective will be to coordinate and ensure smooth delivery of all activities within the scope the team (new hires, internal moves, employee certificates, monthly reporting, payroll process, benefits management)
You will drive standardization and continuous process improvement across the HR Administration workstream and support other team members to manage complex customer requests, whilst ensuring that confidence of the customer is maintained, and customer satisfaction goals are achieved.
You will also need to organize, coordinate, and prioritize a variety of assignments with varying deadlines; organize and maintain a variety of confidential and statistical records, reports, and files; research, compile and summarize informational materials, and prepare periodic and special reports; interpret data, state conclusions, and offer recommendation.
Your Challenges:
Achieving Business Results:
- Deliver standard and complex solutions for HR business requests for all our employees in Cluj;
- Prepare all necessary documentation based on Alstom policies & procedures and support HR Administration solutions considering legal aspects and impact, and involving HRBPs or other relevant parties when needed;
- Actively support organizational change processes/re-organizations;
- Ensure day-to-day operations and relationships with stakeholders (business, HRBPs, other HRSSO functions);
- Act as resource for colleagues from various teams for all the content and process related issues, share the acquired knowledge and improve the team efficiency to solve complex problems.
Customer Relationship Management:
- Ensure that all services delivered meet general time and quality requirements;
- Monitor and improve the quality of services offered to the customers;
- Ensure effective communication and customer focused behaviour to enhance customer satisfaction requirements;
- Pro-actively use of the HR tools to deliver customer requests;
- Take part in customer satisfaction reviews and projects;
- Act as SPOC for the country;
- Manage a ‘right first time, every time’ culture within the teams.
Process Expertise:
- Work closely with all HR Workstreams in order to ensure full data accuracy of employee information;
- Support other functions in the Global Shared Services (Global Mobility, Payroll, Compensation & Benefits, Recruitment etc.) on all Admin aspects through training sessions, FAQs etc.;
- Use and maintain all tools available to support the Administration and Data Management processes.
Continuous Improvement & Project Activities:
- Act as the go to person in the HR Administration Cluj team for complex activities;
- Monitor additional aspects of HR Administration in order to identify opportunities for improvement and participate in projects to develop processes, systems and standards to continuously improve service delivery;
- Provide technical expertise on the implementation/integration of HR principles;
- Support end to end process improvement through improving the global process value chain within HR Administration (activities, R&R, KPI’s, deliverables & quality criteria).
Your Qualifications:
- Education: Bachelor’s degree;
- Experience: 3-5 years relevant work experience, ideally HR Administration or Payroll;
- Evidence of experience of HR processes and systems;
- General knowledge of Romanian labour legislation;
- Positive and proactive attitude, with resilience under pressure. Enjoys face to face interactions, can manage conflicts assertively, has no issues in working with people in higher authority positions (Managers, Directors, HRBPs) or state authorities, works well in stressful situations, can easily adapt to changes and is solution oriented;
- Strong attention to detail, focus on results driven ethic;
- Strong critical thinking, problem solving and interpersonal skills;
- Excellent time management and organizational ability;
- Technical skills: Office Suite (Excel, Word, PPT), SAP or other ERP system;
- Proficiency in English;
- HR Legislation / Management course an advantage, but not prerequisite.
